This Privacy Policy explains how Hayden-Fisher Technologies Inc. (“Hayden-Fisher Technologies Inc.,” “we,” “us,” or “our”) collects, uses, discloses, and safeguards information when you use Groundskeeper™ (the “Service”). By using the Service you agree to the practices described here.

1. Information We Collect

We collect information you provide and information generated as you use the Service:

• Account & profile data, name, email address, organization, role, and authentication credentials.
• Operational content, properties, units, work orders, comments, photos and video, receipts, invoices, accounting records, and messages you upload.
• Location & time data, geolocated clock-in/out, mileage routes, and reimbursement details where you use those features.
• Technical data, IP address, device and browser type, log events, and usage metrics collected automatically.
• Billing data, plan, subscription status, and transaction identifiers (card details are handled by our payment processor, not stored by us).

2. How We Use Information

We use information to operate, secure, and improve the Service; to provide real-time work-order, messaging, and media features; to process billing; to provide support; to send service-related notifications; and to comply with legal obligations.

3. Multi-Tenancy & Data Isolation

The Service is multi-tenant. Your organization’s data is logically isolated and is accessible only to authorized members of your organization and to our personnel as needed to operate the Service or as required by law.

4. AI Features

Optional AI features (for example, receipt and invoice extraction and move-out summaries) process the content you submit to generate results. Where you bring your own API key, requests are sent to your configured provider under that provider’s terms. We do not use your content to train third-party foundation models.

5. Sharing & Disclosure

We do not sell your personal information. We share information only with service providers who process data on our behalf (such as cloud hosting, object storage, email delivery, and payment processing), within your organization, or when required by law or to protect rights and safety.

6. Data Retention

We retain information for as long as your account is active and as needed to provide the Service, including the permanent digital archive features you enable. We retain and use information as necessary to comply with legal obligations and resolve disputes.

7. Security

We use administrative, technical, and physical safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete personal information. To exercise these rights, contact your organization administrator or email privacy@groundskeeper.app.

9. Cookies

We use cookies and similar technologies as described in our Cookie Policy.

10. Children’s Privacy

The Service is intended for business use and is not directed to children under 16. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. We will revise the “Last updated” date above and, where appropriate, provide additional notice.
